GLEON 2026 All Hands’ Meeting

The GLEON 2026 All Hands’ Meeting will be held at Lake Banyoles, Spain on 31 August to 4 September 2026 with pre-meetings and early arrivals on 28-30 August 2026. The meeting will be hosted by Universitat de Girona (UdG), Blanes Centre for Advanced Studies (CEAB), and University of Vic – Central University of Catalonia (UVic-UCC) with support from numerous local institutions, companies, and communities. 

Ada Pastor, Núria Catalán, and Mireia Bartrons will be the host team for the GLEON 2026 Meeting in Banyoles, Spain. This website will be updated as new information is available, so check back soon. 

Program Overview

The pre-meeting program includes a Steering Committee retreat (tentative) on Saturday, workshops on Sunday, and the main meeting beginning on Monday and continuing through Friday. This schedule allows more meeting time for working group meetings and excursions during the week.

Plan travel and budget accordingly to arrive at Banyoles, Spain by Friday (for Steering Committee members), Saturday (for students and workshop attendees), or Sunday (if only attending the main meeting) and depart on the following Friday afternoon. An overview of the meeting program is provided below: 

  • Friday, 28 August – Steering Committee arrivals
  • Saturday, 29 August – GLEON Steering Committee retreat and early arrivals
  • Sunday, 30 August – Workshops, facilitation training, and arrival day for all other attendees
  • Monday, 31 August – Opening plenary and Working Group meetings
  • Tuesday, 1 September – Working Groups and Poster Session
  • Wednesday, 2 September – Excursions
  • Thursday, 3 September – Working Group meetings
  • Friday, 4 September – Working Group meetings, final report back, and departures in the afternoon

Please note: the meeting will take place through Friday this year to allow for mid-week excursions.

Special groups involved in the meeting:

  • Spanish stakeholders in the Lake and Reservoir Management Working Group, focusing on challenges in arid and semi-arid regions
  • Selected local researchers to share the social and scientific context of Lake Banyoles
  • Sponsorship program for Spanish-speaking early-career researchers from the Global South offered by the esGLEON network

In addition to registering for the meeting with GLEON, attendees must reserve the appropriate meeting package by completing a separate form provided by the local host team. Link coming soon!

Meeting Registration fee

The GLEON Steering Committee has created a fee structure to allow attendees to select the fee most appropriate to their situation.

The registration fee options are as follows:

  • $200 (e.g., for graduate students with limited funding)
  • $350 (e.g., for researchers with limited research or travel funding)
  • $550 (e.g., for researchers, students, and others with funding available to cover full registration costs)

There is no added fee for pre-meeting workshops. Meeting participants will also need to cover the costs of the appropriate meeting package to stay in Banyoles for the meeting (see Venue and Accommodations below).

Travel support is available for early-career researchers from Spanish-speaking, underrepresented regions. See below for more information.

FAQs: Registration

Q1: Do I need to be a GLEON member to submit registration to attend the All Hands’ Meeting?
A1: No, anyone interested in attending can register. GLEON membership is not a requirement for attending GLEON meetings. However, you will be expected to become a member when you decide to join GLEON collaborative efforts (e.g. projects, working groups, experiments) that require all team members involved to agree to the GLEON Operating Principles & Procedures.

Q2: Do I need to pre-register for this meeting?
A2: There is no pre-registration for this meeting. Attendees should register for the meeting and reserve the appropriate meeting package using the forms provided.

Q3: Is registration support available for this meeting?
A3: For anyone for whom the registration fee creates a barrier to participation, contact the Steering Committee Co-chairs to inquire about fee waivers.

Venue and Accommodations

Meeting organizers are using a strategy to ensure a genuine GLEON experience:

  • Purposely avoided luxury resorts to keep costs at a minimum.
  • Although there will be several options for overnight accommodations, the whole meeting is happening in a small pedestrian downtown area with everything within a five minutes walking distance.
  • The main meeting venue will be Ateneu de Banyoles.

Overnight accommodations are limited in Banyoles, and our local host team has made arrangements to accommodate our group.

Meeting package reservations

In addition to registering for the meeting, all meeting attendees MUST complete a reservation form (link coming soon) to reserve one of the two following options that includes the Meeting Package. One package includes pre-arranged overnight accommodations for attendees who will be traveling to the meeting, and the other is for local attendees, guests, or those who do not require overnight accommodations.

The meeting package with overnight accommodations is priced per person and includes everything, namely: overnight accommodations in your choice of hotel, apartment or hostel on a first-come, first-served basis, on-site participation in all organized activities, daily coffee breaks, lunches, dinners, and social activities.

Meeting package rates without overnight accommodation

The meeting package without overnight accommodations is priced per person and includes: on-site participation in all organized activities, daily coffee breaks, lunches, dinners, and social activities. Overnight accommodations are not included in this rate.

The accompanying person is priced per person and includes lunches and dinners. Accommodations, social activities, and daily coffee breaks are not included.

Travel Support for Early-career Researchers from the Global South

The host team has secured funding through the esGLEON network to provide full travel support for Spanish-speaking researchers from underrepresented regions in GLEON. Stay tuned for more information and a link to the application form!

Student Information

Goals

The Overall Goals for Graduate Students Attending the GLEON All Hands’ Meeting are to:

  1. continue to improve and develop student involvement within GLEON;
  2. provide students with an opportunity to interact with an international assemblage of lake scientists and information technology specialists in an informal, highly interactive setting; and
  3. encourage students to conduct research using GLEON data or affiliated resources in collaboration with the GLEON community and sister networks.

General Requirement for ALL Student Participants at GLEON meetings

  1. Present a poster* at the Poster Session;
  2. Attend GSA-led workshop**, usually scheduled on the day before the main program begins. GSA workshops are organized by the GSA leadership team, prioritized for student and postdoc attendees, but open to other registered participants at mid-career or experienced scientists, if space permits; and
  3. Conditional: participate in the NPP – Network Partnership Program as the New-to-GLEON Partner if this is your 1st or 2nd time attending a GLEON All Hands’ Meeting.

* If you have any concerns or for any reason are not able to bring a poster to the All Hands’ Meeting, please contact the GSA: gsa.gleon@gmail.com.

** There may be exceptions according to individual needs and conditions, such as personal travel scheduling conflict so you will miss the GSA-led workshops, or another concurrent workshop on the same day suits your research needs better. In the latter scenario, you are absolutely free to choose any of the pre-meeting workshops to attend.

Student Checklist

  • For those who are eligible, apply for travel support before registering for the meeting or reserving the meeting package.
  • Book Travel (apply for visa, if applicable).
  • Look for a message to register for the meeting and book the meeting package with accommodations. Please do not book accommodations until notified by GLEON that registration is open.
  • Prepare your poster: all student participants are required to bring a poster to share your research or project ideas. Abstract submission is included in the meeting registration.

Posters & Abstracts

During registration, participants are invited to submit an abstract (or more if applicable) to present your research at the GLEON All Hands’ Meeting.

Poster Session and Abstract Book

The GLEON Student Association (GSA) Poster Committee will prepare a GLEON 2026 Abstract Book and include all abstracts that authors give permission to share during registration.

Posters: Students (required) and General Research (optional)

The GLEON Poster Session is designed to be an informal but highly interactive way for you to share your research, present your project ideas to your fellow GLEON meeting participants that come with various expertise and interests from all over the world.

  • Poster abstract submission is open to ALL registered participants.
  • Students are required to present a poster at the All Hands’ Meeting.

Research Updates and Site News: 5-minute oral presentation at plenary time

If your work is affiliated with a current or potential GLEON research site or project, and you are interested in sharing the latest development or collaboration opportunity with GLEONites:

  • You are invited to submit an abstract as a request for a 5-minute Research Updates and Site News oral presentation at plenary time or to present a poster. For presentations, the 5-minute time slot includes a 4-minute presentation and 1-minute for questions.
  • We strongly encourage you to focus your presentation on collaborative opportunities for your fellow GLEONites at the All Hands’ Meeting.
  • The Program Committee will review the abstracts and contact the first/representing authors about the acceptance of oral presentation or suggest a poster.
  • You are welcome to bring a poster for your new sites/site news information (with or without an oral presentation invitation at the plenary).

  • Please keep your poster size within 90 cm (width) x 120 cm (height) OR 120 cm (width) x 90 cm (height).
  • Poster content must be available in English.
  • Optional: feel free to bring printed handouts of concept diagrams or outlines of your poster, in English and/or other languages if you find it useful in communicating your research at GLEON meetings.
  • Please have your poster printed/ready before you travel, and bring it with you to the GLEON meeting. Tacks, pins or tape will be provided onsite to hang your poster.

Network Partnership Program

Purpose

The purpose of the Network Partnership Program (NPP) is to help New-to-GLEON participants engage in effective, friendly networking and integration into the community of people and collaboration.

How did NPP Begin?

The program was developed by the GLEON Student Association (GSA) in 2009, in response to the perceived need* for a supportive environment for both students/early-career scientists & new members to the community. *Thanks to the previous GLEON Meeting survey results many of you contributed to, and recommendations made by the Committee for inClusive Collaboration (CCC).

NPP Roles

New-to-GLEON Partner (NP): the 1st- or 2nd-time GLEON meeting attendee:

  1. If you are a student and this is your first or second time attending a GLEON meeting/workshop, you will be enrolled as a NP automatically via GLEON meeting registration;
  2. If you are *not* a student but new to GLEON, you have the option to choose to sign up as a NP through the GLEON meeting registration;

GLEON Partner (GP): this is your 3rd time or more attending GLEON all-hands meeting:

  1. You can be a faculty member, scientist, technician or student that has been to more than two GLEON events AND willing to participate in NPP in a mentoring role. Sign up is available through the meeting Registration.
  2. The NPP organizers (GSA and CCC members) may invite you directly, too, to be a GP – depending on the demand & number of NP attending the meeting. (Translation: we need as many GP as we can get! This program is always in high-demand, since GLEON 13!)

Pairing of Network Partners

The GSA and CCC work together to pair *one New-to-GLEON Partner (NP) with one GLEON Partner (GP) after the GLEON meeting Registration closes.

*Sometimes we may need to pair two NPs with one GP, depending on the registration results and availability of each role.

Suggested Activities and Expectations of Both Roles

The exact terms of the networking partnership will vary depending on the particular needs of your partner. Here are a few suggestions that NPP partners from the past GLEON meetings have honored and worked well:

  1. The GLEON Partner (GP) is expected to be friendly and supportive, to make frequent contact with the New-to-GLEON Partner (NP), introduce him/her to other GLEON members, help identify similar or complementary research interests among GLEON meeting attendees and general membership.
  2. The GP visits the NP’s poster during the Poster Session, helps facilitate interactions with the audience if need be.
  3. NP and GP share at least one meal together during the GLEON meeting week.

Fun Facts of NP & GP Roles Development & Successful Collaborations

  1. When NPP was first implemented, the roles were ‘Student Partner’ and ‘Senior Partner’.
  2. At G11 (Nanjing, China), it occurred to the organizers that some very experienced GLEON members are students or early-career/young scientists. ‘Senior Partner’ was not exactly advertising itself to solicit volunteers… Additionally, there were requests from mid-career and experienced scientists, interested in participating in the NPP because they had not been to any GLEON meetings before. Hence the re-naming of New-to-GLEON Partner and GLEON Partner – age is irrelevant!
  3. In GLEON we do not brand NPP roles as simply mentor vs mentee. We believe both partners contribute to the networking relationship – the GP may be more experienced in GLEON connections, but the NP often helps the GP extend his/her networks of collaborators as well.
  4. Here is one example through the serendipity of a NPP partnership at GLEON 13 (Lake Sunapee, October 2011), a collaborative relationship between two labs in Brazil and Denmark are formed, and they have continued to develop multiple projects, experiments, publications and scholarly exchanges.

Visa & Letter of Invitation

Visa

  • Check this website for information about entering the Schengen Area (including Spain) for periods not exceeding 90 days within a 180 day period.
  • Please consult with the Spanish Consulate in your country/region to find out whether you need a visa to visit Spain. For example, if you are based in the U.S., please check visa requirements at Travel.State.Gov.
  • Plan your air travel sooner rather than later, especially if your itinerary includes a stopover in a country where a transit visa is required. For example, if your flights include a transfer in the U.S., you may need to obtain an ESTA (https://esta.cbp.dhs.gov/esta) or a transit visa (before you travel) in order to complete your journey to Spain. Please consult with your air ticketing agency and the consulates of the countries you will transit through for the latest requirement.

If you need a letter of invitation to support your visa application, please contact GLEON to notify host Núria Catalán and GLEON coordinator Lisa Borre.

(2) Title/Position, Organization and address that should appear on the letter;

(3) Email, phone number and nationality;

(4) Duration of stay in Spain: arrival & departure dates (if you are extending your stay, please let us know the reason, such as “meet with colleagues at ____ (name of institution)” or “tourism in _____ (location)”;

(5) Additional information that needs to be evident in the invitation letter as required by the Spanish Consulate (or by your university administration if not for visa purposes);

(6) If you need an original/physical letter signed and posted to you, please provide your complete postal address (postal or zip code included) in your request email.

*The letter of invitation does not financially obligate the hosting organizations. All expenses incurred in relation to GLEON meeting attendance are the responsibility of the participant. Whether you are sponsored by your institution or another source of travel support, please work with your funding agencies for financial support documentation should it be required for your visa application.
